Why have covers?
We have both thumbnails and larger images attached to our indexes for reference and identification purposes. Having covers completes the indexed data, it's a nice trip back on memory lane, and it's a great resource for foreign indexers covering their foreign language editions of the books.

Where do the images come from?
A lot are scanned or photographed by members of the team from personal collections, some are sourced from news. These are quality checked, then retouched, trimmed and rotated if necessary. Most are now submitted through visitors to the website. If you wish to submit a cover, we prefer that you have made the image yourself. If you submit images from another source, please obtain their permission first.

The following websites DO allow us to use their cover images (with a mention of them in the source field):

How should I create cover images? What settings should I use on my scanner or camera?
The minimum image size is 400 pixels wide in "portrait mode" (i.e. a normal cover). For odd formats, the shortest side should be minimum 400 pixels. Maximum size depends on your internet connection - we are happy to receive 2000x3000 files but these might result in server timeouts while the upload is taking place. If that happens frequently to you it might be better to use smaller sizes. Your comic-book should be scanned at 100% @75-200dpi. 75dpi gives an image close to the minimum requirements (approximately 450 pixels wide), 200dpi gives a larger and better image. Although we appreciate large images, there is no real need to go beyond 200 dpi, and a sweet point between quality and size lies at around 150dpi.

The book should be scanned or photographed without any bags or other plastic casings to avoid reflection. The image should be perfectly straight and trimmed, i.e. no borders around the book. Some post-imaging rotation may be needed as not all scanning or camera software does this automatically. Save the image as JPEG format, with approximately 70% quality. If in Photoshop, quality settings 5 to 8 is OK.

How do I submit covers?
Search at the website http://www.comics.org for the comic you want to submit. Each series has a section called "Cover Status". If the cover you want to submit isn't on the website, the Cover Status should show that issue as white. Click the number of the issue and, if you are logged in, you will be taken to a page asking for the name of the file to upload. Click the "Browse" button to find the cover on your local computer.

More detail on image standards, how to upload flip or wraparound covers, variant covers, and replacing existing cover images is at Adding Covers.

Are there alternate ways to submit covers?
If for some reason you can't submit covers as outlined above, feel free to contact the editors via the Error Tracker at http://errors.comics.org (report an error of type "cover scans"). Covers can be attached to the error report after it is submitted or, alternatively, one of the editors could contact you with an email address that the cover can be sent to. An editor may also contact you with a street address that a disk of cover images can be sent to.

If you have a large collection of covers we do not have there might be other ways to bring them online. Please contact us using the address given on our front page.

The cover I submitted got marked for replacement or deleted, how come?
There are three major reasons why we delete covers. One is, the cover you uploaded was the wrong cover. Sometimes there are different series with the same or similar names or dates. The other is that there was a "watermark" on the cover, such as from Mile High Comics or Ebay. We don't accept watermarked covers because the watermark can make art identification more difficult and the original image creator probably watermarked the cover because they didn't want other people to use their image. Third, the cover is not from a printed, physical copy of the book. We do not allow digital representations of covers, such as those from publishers' websites or from web comics. Such representations often do not match the printed copies in colors, barcodes, text, or other details.

Sometimes we just mark a cover for replacement. This is usually because they aren't cropped properly (i.e. there is white space around the cover) or the actual comic was damaged (i.e. writing on the cover).
Covers marked for replacement are visible through the color codes on the Series overview page. Also when viewing the cover gallery, covers marked for replacement have a gray box around them.

If you notice a watermark on an existing cover image, please submit a deletion request, making a note in the comments of the exact location of the watermark, since it can be difficult to notice for someone not familiar with the book. Alternatively, you can submit a replacement cover if you have an acceptable image.

Why are there some series that do not allow cover images?
Some books that contain comics are not considered comic publications for our purposes. Cover images will not be accepted for any issue that has not been indexed with at least 10 percent comics, though if the cover has comic material it may be indexed.

I have a cover to a comic you don't have listed. What do I do?
Please see the Series Skeleton Requirements to get the info to us to add a missing series.

I have a cover to a comic you already have, but mine looks better than yours. What do I do?
Replacement cover images can be submitted via the 'Edit cover' link present on the issue page, the 'Edit covers' link on the large cover view, and the 'Add/replace cover' link under each cover on a series cover gallery page. If you are replacing a cover image, please make sure that the image you upload is really better than the one that is already there. If in doubt, for example if the colors just differ slightly and it is a matter of taste, monitor and scanner calibration, we keep the current cover and reject the replacement.

Can I get all the covers from a specific series sent to me? How can I easily download all the covers in the database?
Due to copyright reasons, we don't re-distribute the cover images in any way. We can display them here on the website due to Fair-Use rules of copyright, but we are unable to distribute them in any way. Everyone knows that nobody can stop you if you click on each cover you want and save it to your computer. We claim no copyright to either the images or the scans. An acknowledgement of the fact that they came from the GCD would be nice.

What is indexing Offline?
In the old days, before there was an Online Interface to index comics for the GCD, all indexes had to be done offline. The offline versions of the indexes consisted of text files with tabs that were then compiled together and distributed. File-submission indexing let indexers prepare index files offline using spreadsheet or text editor programs, and submit these files to the GCD as e-mail attachments.

Indexing Offline, or Flat-File Indexing as it often was called, is currently supported on an issue basis.

How do I use it? How do I reserve comics to index Offline?
Use the Online Interface at http://www.comics.org as usual. If you want to index a comic, find out if the comic is available for indexing by searching the database. To use the Search bar at the top of any page, enter the name of the comic and search for “Series.” A tip is that it is often best to use only a simple part of the name, because this search is by exact match only. Thus, a search on “The Muppet Show Comic Book” will NOT return a series named “Muppet Show: The Comic Book.” A better search would be simply “Muppet Show” and then choose the appropriate series from the list returned. You should note that the GCD uses the official name of a publication as printed in its indicia or publication data within the book: this may not be the same as the name on the cover.

If you find the Series you wanted, look in the "Index Status" grid on the Series page for the issue you want. If the issue you want to index is shown in white in the grid, then it is available for you to make a reservation and work on. If the issue you want to index is shown in green or blue in the grid, then it is at least partly indexed but it should be available for you to make a reservation for revisions. Green indicates that the sum of the sequences' page count is nearly equal to the total page count of the issue, and there is little new information needed (though revisions can be made). Blue indicates that the sequences indexed so far are few and much work is needed. Orange indicates that someone else has just finished working on the issue and it is awaiting an Editor's review and approval. Red indicates that someone else has the issue currently reserved and you cannot perform any work on it.

If you do not find the comic you want, one of the following may be missing:
* The Issue may be missing from the Series. See the Adding a Missing Issue page.
* The Series may be missing from the Publisher. See the Adding a Missing Series page.
* The Publisher may be missing from our database. See the Adding a Missing Publisher page.

If you have navigated to the series you wanted, you may reserve the issues you need by clicking through to them on the grid and then clicking the "Edit" button in the top right corner of any Issue page. All aspects of that issue are then available for you to index.

After you click on "Edit" for an issue you can always import a file with additional stories. If the issue has no stories attached you can also import a file with information for the whole issue.

What is the format for indexing Offline?
Note that while data is sometimes optional, the format for the data is not. And if a field is left blank you still have to include the empty field (i.e., have consecutive tabs) so the other fields match up (note that some software won't do this if you try to save a text file, so check carefully).

The following documentation is using tab-separated data. We nowadays also support import and export using CSV-format, where the fields are separated by a comma (,). If field values include a comma or quotation marks the field value is included in quotation marks.

Many find software for word processing like Word from Microsoft or Writer from OpenOffice not that useful for preparing the flatfile due to the handling of tabs. Better suited are spreadsheets, e.g. Excel from Microsoft or Calc from OpenOffice (multi-platform) / NeoOffice (Mac OS X), and an export of the spreadsheet into tab-separated files. Or one can use an editor which can explicitly show tabs while editing a simple text file.

The import is either for the full issue, i.e. both for issue data and sequences data, or for sequences data alone. In the second case, just ignore the first line for issue data from the following description and only use the lines with sequence data.

The following table shows the function of the 15 fields for issue records.

# number
# volume
# Indicia/Colophon Publisher
# brand
# publication_date
# key_date
# indicia_frequency
# price
# page_count
# editing
# ISBN
# notes
# barcode
# on-sale date
# issue title
# reprint links (only for export)

So the line would look like (here and in the following ^T represents a tab)

number ^T volume ^T Indicia/Colophon Publisher ^T brand ^T publication_date ^T key_date ^T indicia_frequency ^T price ^T page_count ^T editing ^T ISBN ^T notes ^T barcode ^T on-sale date ^T issue title

The following table shows the function of the 16 fields for story records.

# Story Title

If you import a full issue the first line is for the issue followed by several lines for the story sequences.

If one just adds sequences to an issue the first line cannot be there, otherwise it is the same.

Several additional things to consider:
* on the issue line or on a story line
** If the Page_Count is uncertain please add a question mark '?' behind it
* on the issue line
** Publisher and brand have to exist for the publisher
** if there is no printed Publisher or no brand enter 'none' for that field
* on the story line
** If a credits field is not applicable for the story (e.g. for a black and white story there is no colorist) please enter 'none' for that field.
** If the story title is made up please put it in []-brackets.
** Type has to be one from our list of Types

How do I save in the right format from...
Microsoft Excel 2010 (Windows)
* Click on the File tab at the upper left of the window
* Choose "Save As" (near the top left)
* Select "Text (Tab delimited)" for the "Save as type" and click "Save"
** You may want to first change the file name to end in ".tsv", but this is not required and has no effect on the contents
* If Excel complains that the selected file type does not support multiple sheets, then choose "OK" to save only the active sheet
* If Excel complains that the sheet may contain features that are not compatible with Text (Tab delimited), choose "Yes" to keep the format anyway

Note: Quotes may or may not be handled correctly in this export format- if you have used it and can confirm that this works, please edit this page or let us know.

OpenOffice
OpenOffice is a free software suite for Windows, MAC, Linux and other UNIX-compatible systems. Note that these instructions should be very similar to LibreOffice.

*Click "File" and select "Save as"
*Select "Text CSV (.csv)" as the type.
*Ensure you tick "Edit filter settings"
*Click "Save"
*Set "Field delimiter" to be {Tab} from the drop down list.
*Clear the double quote from "Text delimiter", leaving the field empty.

NeoOffice (Mac OS X)
NeoOffice is a free version of OpenOffice developed for the Mac. These instructions were written from version 3.1.1 patch 0

* From the File menu, choose "Save As"
* Select "Text CSV (.csv)" from the list of formats
** You might want to change the file name so that it ends in ".tsv" since we will actually be saving as tab-separated, but this is not required and has no effect on the contents.
* If you are warned that you will lose formatting or other aspects if you save as .csv, select "Keep Current Format".
* Next, you will be asked to set export options. Choose the following:
** Character set: Unicode (UTF-8)
** Field delimiter: {Tab}
** Text delimiter: [leave this blank- you will need to highlight the contents of the field with your mouse and press delete to clear it manually, as there is no drop-down option for a blank text delimiter]
** Save cell content as shown: leave checked
** Fixed column width: leave unchecked

The resulting file (whether it ends in .csv, .tsv, or anything else) should be in the correct format.

Google Docs
These instructions are correct as of 14 Aug 2011.

*Go to the File menu and hover over "Download as" which pulls up a sub-menu
*From the sub-menu, choose "Text (current sheet)"
*The resulting file will be named with a ".tsv" extension.
*Upload the file.

Logging in
Log into the system on the front page by using the username/email and password you used when you created your account.

If you have problems logging in, check if you've got the caps lock on - it may affect the login procedure. Fill in the two fields and click "Login".

You can also log in from any page on the site by using the "Log In" button at the right of the search bar. (Toggles between "Log In" and "Log Out".)

You should have cookies turned on in your browser. If the first thing that comes to mind is Oreos, you've probably got them on already...

Your first screen
If you have logged in, you will see your editing page, and now any "edit"-type buttons will actually work!

Also, in the header menu, you can now edit your Profile by clicking that link. Of particular interest to new indexers is that your Profile can provide links to this wiki while you are indexing. The "Wiki Links in OI" box near the bottom of your Profile page should be checked for new indexers. This will provide a link to the appropriate topic as a small [?] at the top of each data entry field. After you become familiar with indexing, you can go to your Profile and turn off these links if desired.

How do I create my first index?

Indexing Step-by-step
So you are now logged in, you have an issue reserved, and are ready to edit its information. What follows is a step-by-step illustrated tutorial. A complete, new index will be used for the sample; if you are adding only a few of these information items, you will need only those steps. The information is a sampling of the most common requirements and formatting for an index. For detailed information on any item, please see the Formatting Documentation or the individual item links listed below.

Editing an Issue
1. Choose an issue to edit

If you haven’t yet navigated to your Editing queue, click the “Editing” link in the login box on the front page, or at the top of any page. You will see a list of all the issues you have reserved. Click on any one to open it for editing.

2. Edit issue fields

At the top of an issue page, you will see the Series Title (with the year began), Publisher, and Issue Number. We’ve chosen Mad (1952 series) (EC) #50.

Press the “Edit Issue Fields” button to begin. You will see a screen (shown below) with information that pertains to the entire issue. It is important to fill in as much of this as you can, because the volume and date info is used for sorting, the brand and indicia info links the issue to other issues, and the page count helps to insure whether any sequences are missing later. Follow the instructions below each field box when entering data. Complete instructions for each field are given at the links below.

Some fields are deactivated. These may include "Issue Title", "Variant Name", "Brand Emblem", "Publisher Age Guidelines", "Indicia Frequency", "ISBN", or "Barcode". To enter a value for one of these, the corresponding series setting has to be changed.

Some areas of special concern are:
* Indicia/Colophon Publisher: You may choose from the drop-down list. If the publisher listed in your book is not shown in this drop-down list, please see Adding an Indicia/Colophon Publisher. If you determine that the Indicia/Colophon Publisher you need already exists, but it is not showing up in the drop-down list, the problem is likely back at the Series record. In come cases, a series Begin or End Date will not include the date of the Issue you are indexing. The Series record will need to be edited to change one of these dates before it will show up in your drop-down list.
* Brand: You may choose from the drop-down list. If the brand shown on your book is not shown in this drop-down list, please see Adding a New Brand. If you determine that the Brand you need already exists, but it is not showing up in the drop-down list, the problem is likely back at the Series record. In come cases, a series Begin or End Date will not include the date of the Issue you are indexing. The Series record will need to be edited to change one of these dates before it will show up in your drop-down list.
* Indicia frequency: use only the frequency actually printed in the book. If none exists, leave this blank and check the No Indicia Frequency box instead.
* Notes: are encouraged for any information that pertains to the entire issue but does not fit elsewhere. For example, in Mad #46, the Note “April Fool cover printed on the BACK cover of magazine. Contents herein is indexed beginning from the front of magazine.” explains why the contents of the index may appear to be listed backwards.
When you have finished with the issue information, click the "Save And Return To Changeset" button at the bottom of the page.

The Cover - Your First Sequence
3. Create a cover record

If you want to add a cover scan to the issue, please see the Covers FAQ and Adding Covers for more information.

After you have added the information that refers to the whole issue, you will be back at the Issue Editing page. Click the "Add Story" button to add the first sequence to the issue. The first sequence is always the Cover, and is automatically numbered “0”, as shown in the box at the right of this line. You should now be at the top of an Adding Story page (shown below). It is important to fill in as much of this as you can. Follow the instructions below each field box when entering data. Complete instructions for each field are given at the links below.
* Keywords - Keywords
* Comments - Comments
In addition there are three fields that apply ONLY to sequences of Type About Comics. They will not be visible on any other Type of sequence. These are:
* Bibliographic Pages - Creating Bibliographic Pages
* Abstract - Abstract
* DOI - DOI

Some areas of special concern are:
* Editing: Most sequences will leave this blank and have the No Editing box checked below it. The reason for this is that for most books, the editor is listed in the issue information you just entered. He generally edits the entire book. Exceptions are when a story actually has a separate editor, or when a story is a reprint and you want to reference the original editor.
* Notes: This field is for anything that helps explain other data you entered. This should be information that is useful to explain the sequence but does not fit into any of the other fields. Common uses include noting unusual credits such at "Issue lists a thank you to Marie Jones, but no indication of her contribution.", or explaining why you changed an art credit such as "Long, pointed noses of the horses and curved eyebrows indicate Fred Johnson art. Art ID by Don Milne, January 2001.", or placement of a sequence such as "Between pages 4-5 of the Vampire Shampire story."

When you have finished with the story information, click the "Save Story" button at the bottom of the page.

Adding More Sequences
You can now add as many stories or other sequences as the comic contains. While you can index sequences covering every page of the comic, you do not need to. Including only story and text story sequences is acceptable to create what we define as a minimally complete index.

Other Buttons and Links
Besides adding stories, there are some other functions you can perform on your Issue Editing page.
* Copy Story: This button allows you to copy the complete story sequence from some other issue in the database. When you press it, you will be sent to a page that allows you to search for the story you wish to copy. You can search using a variety of criteria shown. Once you find the correct story, enter its code number from the right end of its URL in the last box and hit "Select Story". You will be sent to the story record, which you can modify as needed, using the same fields as shown while adding a new story (above). When you have finished with the story information, click the "Save Story" button at the bottom of the page. Your copied story will be at the bottom of your story list.

* Reorder issue stories: This button near the top of the page allows you to change the order of the sequences you have in the index. This is useful when you forget a sequence and need to insert it between other sequences you have added. See Sequence Number for more information.

* Edit Issue/Story Reprint Links: This button near the top of the page allows you to change Reprint Links for either individual stories or for the Issue as a whole. You can also change Reprint Links for individual stories using the button at the far right of each story. (See Reprints for instructions on entering Reprint Links from the Issue Editing screen.)

* Add Variant Issue: For more information on adding a variant issue, see Variant Issues.

* Move to Series with ID: This button allows you to move the current issue to a different series. It is useful when you discover that an issue is in the wrong series, such as a 1957 issue being listed in a series that began only in 1986, or a hardcover book being listed in a magazine format series.

* Remove New Story: This button allows you to remove any new sequence you have added.

* Mark To Delete: This button allows you to delete any sequences that existed before you reserved the issue.

* Import Sequences: These buttons allows you to upload text files (a.k.a. "Flat Files"), instead of entering your data in this OI web form. Two import formats are supported: tab separated files or CSV files. Please see Indexing Offline for more information on that method of indexing; the link to that information is also on your editing page.

* Compare Changes: This link provides you with a different view of your editing progress. One of the best uses for this is to check the page count before you submit an index. Clicking this button will change your view of the issue you are working and the Issue Page Count will show right next to a figure labeled "total sum of story page counts is xx". If your entered Page Count is smaller than this total, you have an error in either the Issue Page Count or in one or more individual story Page Counts. You should fix the error(s) before you submit the index.

Reviewing Your Work When You’re Done
When you think you have finished entering all the information you wanted to enter, please click on the "Preview" link near the bottom of your editing page. This will show you what the finished page will look like if an editor approves it as is. A complete view of the data for Mad #50 is shown below, to give you an idea of where the information you enter ends up in our display.

If you see anything that did not work, that does not look right, or that is missing from what you intended, you can still add or change information before you submit the index. Please check carefully for simple typographical errors. If you see any of the following errors, please check the Formatting Documentation for more information. If you have questions for the editor who will review this index, please include some Comments in your index. The Comments box is intended for a give-and-take conversation between the editor and indexer. Use the Notes box for anything you want to explain about the index that you want all site users to see.

Some of the Most Common Errors for People's First Indexes
* Mis-entering (or misunderstanding) the Keydate. See Keydate for detailed information on using this field.
* Not putting ?s on creator credits which are not known. All creator fields (except 'script' for covers and 'editor' for sequences other than the first cover) must have a name, a "?", or have the appropriate "No" box checked.
* Not using [ ] and ( ) correctly. Do not use { } anywhere in an index.
** [ ] is for alternate names, such as character secret identities, writer/artist pen names or studio names. Pen names are noted like this: [as Jane Doe] while character names do not use "as".
** ( ) is for explanatory notes, such as the fact that this is the introduction of a character, or that one artist credited for pencils drew only the first half of the book, while the other artist drew the second half.
** [ ] is also generally used for information not present in the comic, such as a Publication Date where the month is known but not shown in the comic. For example: [December] 1958.
* Using commas instead of semi-colons to separate data. All Characters lists and creator name lists should be separated by semi-colons. However, notes within these lists should still use commas. Here's an example of a correctly formatted list: John Smith; Superthing; Fred Johnson (origin, death).
* Missing page counts for one or more sequences. Don't forget to put the page count of the whole book in the Edit Issue Fields page.

Submitting Your Index
After you have made and verified all the changes you intended, are satisfied you have properly formatted items, and have included any Comments to ask the editor, hit the "Submit Changes for Approval" button at the bottom of the issue editing page.

What Happens Next?
First time indexers will be contacted AFTER submitting an index, by one of the Editors at the GCD to be mentored and to help them along with some of our more specific formatting. All indexes are reviewed by an editor (usually within a week). If there is a problem, the index may be put back in your editing queue with comments and you may be contacted by e-mail for comment. We require the data to be in one consistent format so that it is easily searchable. Please do not be discouraged if you get back a list of stuff to be corrected. The editors can be a picky bunch, and they have to be. Some of the seemingly strange things we require are needed due to the fact that a large part of our data was created in older databases, that did not allow for modern relationships and formatting. Some details are covered above. But once you've done a few indexes it becomes old hat!

What if I Want to Make a Change Before it Is Approved?
You can view the status of your index at any time on your Editing page. It will show whether it is still in the pending queue and who has been assigned to review and approve it. If it is no longer shown on this page, it has been approved! However, if you want to change some information before it is approved, you can click the “Retract and Edit Further” button and then reedit the index. If you decide you want to throw out your entire work on the index, you can hit the “Discard” button. If you do not see these buttons on your page, that means the index is under review by an editor. You can only retract an index while the it is in the pending queue, and not once it is under active review. Note that this means the "retract and edit further" button cannot be used and is not visible to an indexer still being mentored, because those indexes are automatically submitted to the mentoring editor. However, you can still comment on it and even ask that the Approver send it back to you for more work instead of approving it, in the Comments box as discussed above.

How Do I Contact an Editor with Questions about My Index?
The easiest way to contact an Editor is to put a Comment in the issue you're working on, if it applies to that specific issue. If you have a more general question, a good method is to post the question on the gcd-main list. Most of the Editors take part in the discussions there and someone is very likely to answer your question.

What's up with All These Crazy Rules Anyway?
Though we have made continual progress towards a fully relational database, some of the fields in the database are still free-form text. In the future we will change this so that they are more structured, and then the system will handle a lot of the formatting automatically. For instance, right now you must put a semi-colon between multiple characters for a story, and that all gets stuffed in one field and displayed with the punctuation you used. In the future, each character will be a separate entry, and you will not need to worry about what sort of punctuation to put between them - the system will add it automatically. For now please bear with our rules as following them will help us move to an improved system more quickly!
